Duties of this LEAP Job Posting:

The Executive Coordinator will provide clerical and administrative support services to the Executive Director of Kenora Chiefs Advisory, including, but not limited to, drafting, proofreading, preparing reports and communications, processing correspondence, filing, scheduling meetings, taking minutes, and assisting with special projects. This role involves collaborating on project-based work involving other members of the Executive team, and their staff. A core function of this position will be to provide coordination of Board meetings inclusive of handling all travel and venue arrangements, liaising with Board members, Elders and Staff, preparing board meeting packages, and supporting meetings by taking minutes, and being responsible for effective storage and management of Board and other governance related records.

  • Manage the Executive Director’s schedule, appointments, reservations, and travel arrangements.
  • Schedule and manage board meetings, governmental meetings, related reservations, and group travel arrangements.
  • Act as a liaison on behalf of the Executive Director and the Board of Directors in completing day-to-day tasks.
  • Provide technical support to the Board of Directors and meeting participants in preparation for and during meetings (e.g., connecting virtually, navigating hybrid meetings).
  • Participate in, and at times lead, the coordination of events involving the Board of Directors, including booking venues, arranging meals and travel claims, preparing meeting documents, and ensuring the timely preparation and dissemination of relevant materials and communications.
  • Provide comprehensive support to the Executive Director, including tasks such as word processing, proofreading, report and communication preparation, handling correspondence, filing, meeting scheduling, minute-taking, data management, and special project assistance.
  • Support the Executive Director by gathering materials, drafts, and reports, managing awareness of schedules and deadlines, and providing timely reminders for document and report reviews. Foster effective follow-up and task completion with staff, community, and government contacts.
  • Cover and monitor the Executive Director's emails as needed.
  • Initiate, monitor, and update the Executive Director's schedule, as well as Executive and Board file management systems.
  • Summarize, develop, and edit various documents, including briefing notes, correspondence,
  • presentations, and meeting notes, while handling highly confidential information shared in meetings, engagement sessions, and internal discussions.
  • Assist with the development and distribution of media communications, internal communications, and communications to communities.
  • Perform other duties as required.
Qualifications for this LEAP Job Posting:
  • Undergraduate degree from a recognized post-secondary institution, and/or a combination of relevant training and experience.
  • Knowledge of Anishinaabe culture and language, with experience working in First Nation communities.
  • Strong organizational and communication skills.
  • Proficiency in Microsoft Office Suite (including SharePoint and Teams).
  • Ability to work independently and as part of a team.
  • Must maintain strict confidentiality.
  • Must be willing to work flexible hours.
  • Must be willing to travel when required.
  • Valid driver’s license and access to a vehicle.
  • Vulnerable Sector Criminal Records Check.
