We are currently seeking to hire an Infrastructure and Integrated Social Services (INF/ISS) Administrative Assistant located in Kenora, Ontario, to join our Administration team. Reporting to the Facilities Manager or designated Integrated Social Services (ISS) Manager, the INF/ISS Administrative Assistant is responsible for providing administrative support to the Infrastructure and ISS Management Team.

Wages: Along with an excellent benefits package and participation in the OMERS pension plan, we offer a salary ranging from $57,895.66 - $71,004.12 per annum (2023 rate, subject to change)

Duties of this LEAP Job Posting:
  • Prepare various forms of correspondence and perform filing duties associated with Infrastructure Projects and KDSB funded housing properties and programs.
  • Support ongoing communication between the Infrastructure and Integrated Social Services Department. This includes meeting coordination and record keeping.
  • Establish processes and records for tracking and monitoring incoming and outgoing work, including, but not limited to, work order completion, key distribution, work order reviews, and tenant move-in/move-out.
  • Develop and maintain spreadsheets for scheduling preventative maintenance and service, fleet management, HVAC and appliance inventory.
  • Ensure all documents and inspections have been filed and/or forwarded to the appropriate personnel.
  • Attend staff meetings when required, prepare minutes and emails to the Housing Services Coordinator.
  • Template development for tenant and building notices.
  • Code vendor invoices, match purchase orders to invoices, monitor credits and report any errors to the Housing Services Coordinator. Submit the completed invoice to the Finance Department.
  • Prepare reports as directed by Facilities Manager, ISS Managers and Housing Services Coordinators.
  • Support partnership development with social, health and housing service providers and maintain minutes and records of the discussions.
  • Verify contractor qualifications and coverage.
  • Support the ordering of cleaning supplies, office supplies and miscellaneous purchasing.
  • Maintaining the records for security guard service, electrical safety, technical safety standards, fire inspections, water testing and other related items as they arise.
  • Assist in managing bulk service agreements, including but not limited to propane, cable, laundry.
  • Support project managers, supervisors and coordinators in the administration of tenders, contract administration and notices.
  • Support in the development of job aids for the usage of ARCORI software.
  • Perform other related duties as required.
Qualifications for this LEAP Job Posting:
  • Knowledge of relevant legislation and KDSB Directives.
  • Effective communication, time management and organizational skills.
  • Excellent written and verbal communication skills.
  • Ability to work under minimal supervision and prioritize work assignments.
  • Extensive knowledge about the housing developments owned and managed by KDSB, including the computer software used to manage the housing portfolio.
  • Knowledge of tender procedures.
  • Ability to coordinate groups and motivate others.
  • Successful completion of a post-secondary diploma in Office Administration, Business
  • Administration, Accounting or a related field.
  • Experience in utilizing computers and software programs.
  • Knowledge of the Residential Tenancy Act and the Housing Services Act.
  • Knowledge and understanding of ARCORI software.
  • A valid Class ‘G’ Ontario driver’s license and access to a reliable vehicle for travel.
  • A satisfactory Criminal Background Check
  • Legally eligible to work in Canada.
